SPECIAL EVENTS ASSISTANT

Job Summary

Supports the success of the Rochester region fundraising events. Works with staff and volunteers to assist with planning, coordinating and implementing events designed to raise funds for and to promote community awareness about Camp Good Days’ programs and services.

Responsibilities:

1. Provide administrative support in the research and solicitation of new and existing donors to support region special events. Perform administrative duties, with little supervision, exercising confidentiality, independent discretion, and judgment.

2. Represents Camp Good Days in a positive manner at all times, including working with staff, volunteers, and vendors.

3. Provides staff support to event chairs and related committees formed to help secure sponsors and participants. Support may include keeping records, preparing meeting notices and minutes, handling correspondence and meeting with event committees.

4. Assists with planning, implementation, and production of all fundraising events including vendor relationships, budgets, and event logistics. May coordinate activities related to event program.

5. Event Material Oversight: Works with Communications and Marketing to develop materials related to events including external communications, printed event materials (including but not limited to signage, programs, nametags, etc.) and event scripts. 

6. Maintains spreadsheets of all special event timelines.

7. Works at special events as directed including preparation, set-up, event execution and teardown.

10. Additional direct fundraising responsibilities include managing third party fundraisers, event silent auctions and direct day of event donations. Individual will build portfolio to include new event sponsors.

Qualifications

Education: Bachelor’s degree preferred.

Experience: 1-2 years of special events experience, nonprofit events preferred. Experience in fundraising preferred. Corporate and/or Business-to-Business sales experience may be substituted for fundraising experience.

Skills and Abilities: Ability to relate well and work effectively with multiple constituencies and audiences. Excellent verbal and written skills. Knowledge of office systems: MS-Office preferred. Highly organized and detail oriented to manage event timelines and marketing processes. A team player committed to developing and working within a collaborative environment.

Hours: Typically Monday-Friday 9:00 a.m.-5:00 p.m.; occasional nights and weekends required as needed to support special events and related committee meetings
